Free Quarterly Virtual Meeting

This quarterly virtual user group is all about WASBO’s P-Card. It’s free to all WASBO members & guests. Joining the webinar is a good way for districts considering implementing purchasing cards (p-Cards) to learn more about how the program works. Jump on the call, listen, learn, and get answers. There are currently 210 school districts in Wisconsin participating in the program. This series of user groups is hosted by Holly Wallace, Sponsored Programs Coordinator, Illinois ASBO and Kaitlyn Peters, Professional Development & Member Services Coordinator, Wisconsin ASBO.

May 20, 2026 User Group Meeting

Kaitlyn Peters (WASBO) and Holly Wallace (Illinois ASBO) led a quarterly open forum on the P-Card program, addressing questions and best practices. They highlighted the P-Card's features, including customizable transaction limits, real-time credit limit management, and no Social Security number requirement. The program offers a minimum 1% rebate on transactions, with additional rates based on payment timeliness. They discussed the integration with Skyward and Amazon Business, emphasizing the importance of accurate vendor cross-referencing. The meeting also covered the process for changing P-Card administrators and the upcoming rebate distribution, expected before June 30.

WASBO's August 2025 p-Card User Group meeting focused on addressing questions from participants. Holly Wallace from Illinois ASBO emphasized the importance of updating administrators of record with the bank and in Spend Dynamics. Holly detailed the process for integrating Spend Dynamics with Skyward, including the need for a card identifier file. She also discussed best practices for managing ghost cards and department cards, including tracking receipts and using missing receipt forms. Additionally, she provided guidance on removing users from Spend Dynamics and troubleshooting card declines.

WASBO Purchasing Card Program

More than 200 Wisconsin districts are enrolled

This program is a tool to streamline the purchasing process through the use of technology.  The reduction in purchase orders and paper checks result in a savings of time and money.  WASBO members have the opportunity to join this no-fees program, which is currently used by over 1000 school districts across 23 states, including over 200 districts in Wisconsin.

What are Purchasing Cards (p-Cards)?

  • p-Cards look and operate similarly to credit cards
  • p-Cards do not carry a revolving line of credit
  • p-Cards can have limits set to control transaction amounts, what can be purchased, and where purchases can be made
  • p-Cards have authorization parameters that can be reviewed and managed 24/7 through a secure web portal by district administration
